Your IT budget in KANAP in ten minutes

Explore with the example · Start with my own data

In ten minutes, your company, your budget lines and a contract are in KANAP, your first report runs on your figures, and a colleague can read them. Starting with your own data erases the example: what you see at the end comes from you.

These are the five steps of the Your first five steps tile on the home page, for the path The IT budget with Start with my own data. Each step in the tile opens its screen with a short hint. Click Done in the hint, or the mark next to the step, once you have done it. See Trial: your path and first steps.

1. Your company

Master data > Companies

What to do. Open the company created with your workspace. Check its Base currency and its Chart of accounts, then complete the other fields. Add your own chart in Master data > Charts of accounts if the one proposed does not fit. Create your other companies with New.

What you see. The company is the legal entity that pays. It sets the currency of its lines and the chart of accounts their accounts come from.

2. Your budget lines

Budget management > Budget lines

What to do. Either import your budget file, or create a first line by hand.

  • Import a file. Click Export first: on an empty list, the file holds the header row alone, your template. Import > Download an example gives a workbook with a few sample lines and what each column takes. Fill in your lines, then Import.
  • Create a line. Click New line, type its name in the title and press Enter. Fill in the Properties panel: paying company, account, currency. Enter the amounts in the Budget tab, then click Create. Cancel drops the line.

What you see. An import checks the whole file and reports the lines to create, to update and those unchanged. A file with one error loads nothing. A line created by hand shows in the list with its amounts for the year.

3. A linked contract

Budget management > Contracts

What to do. Click New contract, fill in the form, then Create. In the contract's Budget tab, link the line it pays for with the picker under the table.

What you see. The contract dates each term, tells you when a renewal decision is due, and compares what it commits with the budget lines linked to it.

4. Your first report

Budget management > Reporting > Top lines

What to do. Check that the filters follow your entries: Year, OPEX or CAPEX, Top count. Add more lines to enrich the reports.

What you see. Your largest lines of the year with their share of the total. A click on a line opens it.

5. A colleague

Admin > Users

What to do. Click New, enter your colleague's Email, choose a role under Roles, for example Budget Reader, then Save and invite. To let your colleagues sign in with Microsoft Entra ID, set up SSO in Admin > Authentication.

What you see. Your colleague shows with the status Invited and receives an email with a link to choose a password. Budget Reader reads the lines, the contracts and the reports without changing them.
